The Profiles & Algorithm section in Together allows admins to configure and manage participant data for their programs. Whether importing organizational data or collecting participant responses, this section ensures structured, consistent, and reusable user data across multiple programs.
Admins can manage user data in two key ways:
- Admin-Imported Fields โ Fields added by admins via CSV uploads or HRIS sync. These fields remain consistent across all programs, ensuring users do not need to enter them repeatedly.
- Participant-Populated Fields โ Fields that users fill out when they register for a program. Responses are specific to each program, allowing flexibility based on program needs.
Accessing Profiles & Algorithm
To manage participant data, navigate to:
๐ Program Settings > Profiles & Algorithm
At the top of the page, youโll find three tabs that help organize user data:
1. In This Program
This tab displays all fields currently used in your program, categorized into:
- Admin-Imported Fields โ Information that admins have imported or synced from an HRIS integration. These fields are shared across all programs and do not need to be re-entered by users.
- Participant-Populated Fields โ Questions that participants answer when they register for this program. These fields are specific to this program and do not automatically appear in others.
2. Used in Other Programs
This tab allows admins to reuse existing fields from other programs instead of creating duplicates.
To add a field from another program:
- Go to the Used in Other Programs tab.
- Find the field you want to reuse.
- Click Add to This Program to include it.
๐ Note: When adding a field from another program, admins can choose to either copy the question or reuse it.
โข Copying a question creates a separate version, meaning any changes made to the field in one program will not affect the same field in another program.
โข Reusing a question keeps it linked between programs, so all field data remains shared. However, Matching Logic, Matching Preferences, and Match Strength remain program-specific.
3. Templates
The Templates tab provides pre-built standard fields that admins can add to their programs. Instead of creating fields manually, admins can select from templates such as:
- Department
- Seniority Level
- Language Preferences
- Location
To add a template field:
- Go to the Templates tab.
- Select the field you want to use.
- Click Use Template to add it to your program.
Configuring Matching Logic for Fields
When reusing a field in a new program, admins can customize the matching logic based on the programโs needs.
To configure matching logic for a field:
- Navigate to the field in Profiles & Algorithm.
- Click on the field to open its settings.
- Under Configure Matching Logic, select the Match Type (e.g., Colleague Connect, Mentorship, Coffee Chats).
- Choose a Matching Logic option:
- Matches โ Looks for overlap in responses between users.
- Does Not Match โ Avoids matching users with similar responses.
- No Question Logic โ Responses will not be used in matching.
- Set the Matching Strength (e.g., Moderately Important, Highly Important).
- Click Save to apply the changes.
Importing Data into Admin-Imported Fields
Admins can import user data directly into the Admin-Imported Fields section to maintain consistency across all programs.
To import user data:
- Navigate to Profiles & Algorithm and click Add.
- Select Import Data from the options.
- Follow the steps to upload user data via CSV or HRIS sync.
- Once imported, new fields will appear under Admin-Imported Fields and will be used across programs.
๐ Note: Imported fields are automatically available across all programs where the user is registered.
Editing Fields in a Program
Each program can have its own version of fields, but admins can also reuse fields across multiple programs.
To edit a field in a program:
- Navigate to Profiles & Algorithm.
- Click on the field you want to modify.
- Update the question text, response options, or matching logic.
- Click Save to apply the changes.
๐ Note: If a field is copied, changes made to it in one program will not impact the same field in another program. However, if a field is reused, edits to the field will apply across all programs where it is used, except for Matching Logic, Matching Preferences, and Match Strength, which remain program-specific.
