Action items for Admins:

  • Determine your timeline: best practice is to conduct testing over a course of several days to 1 week and then use the next week to action the feedback provided during the process 
  • Assign roles: decide who of your testers will be mentors, mentees, or colleagues (as applicable)
  • Create feedback forum: whether this is a live document, a collection form, or a synchronous meeting, decide what medium you’ll be using to collect tester feedback
  • Communicate: ensure testers are aware of the purpose of the process, what their assigned role is, what the desired timeline is, and where they can provide feedback

Action items for testers:

Follow the instructions below to go through the beta test workflow.

Day 1: Register & view resources - Time commitment - 15 mins

  • You will receive a registration email in your email account to register through the Together platform.
  • Click on ‘Start Registration’ to complete your registration questionnaire. 
    • Note: watch out for spelling errors and confusing language during this step.
  • You’re now registered! You will be taken to the My Setting tab where you will be prompted to set up your preferred meeting hours and notification settings under the “My Settings” tab. Feel free to adjust these settings. 
  • You may be prompted to enable calendar, video conferencing, and chat integrations. Please do so.
  • Once registered, click on the Program tab, find your program and select ‘View’. Scroll down to review the resources associated with your program.
  • [Admin task] Once you complete your registration, the Talent Development team will match you with a mentor through the system.

    • Note: the system uses its smart matching algorithm to pair mentors and mentees based on their development needs and areas of expertise. This will help us reduce the chance of “mismatch failure” and matching bias by using a data-driven approach to match. We will also be able to pair team members based on values, further driving our commitment to community and culture.

Day 2: Get matched, schedule your first session, provide session feedback & edit agendas  Time commitment - 30 mins

Matching

  • Matching (Admin-led): look out for an email from Together letting you know that you’ve been matched! 

OR

  • Matching (user led with approval): browse the directory, identify who you’d like to match with, create and rank your shortlist of options, submit your shortlist. 

OR

  • Matching (user led without approval): browse the directory, identify who you’d like to match with, request them as your match. You’re now matched!

Scheduling

  • From your ‘you’ve been matched’ email or within the match itself (Homepage > click into the match), schedule your first session with your match. Note: we encourage those in the mentee role to book the first session and those in the mentor role to book the second session.

Agendas

  • Fixed Agendas: From your homepage, click on your active match (or group for Group Programs), then find and click on your session to view its agenda. You can edit this agenda if your program enables Shared Agendas – just click, edit, and save! 

OR

  • Personalized Agendas:  From your homepage, click on your active match (or group for Group Programs), then find and click on your session to generate an agenda. Review the agenda and customize it further using AI - add relevant prompts and review the regenerated results.

Session Feedback

  • Mark your session as done and fill out the session feedback form.

Day 3: Provide feedback  Time commitment - 15 mins

  • In whatever forum determined by your Admins (live meeting, survey form etc.) provide your honest feedback about the experience. Proposed edits, feelings about the user experience, and questions about functionality are all welcome and encouraged.
