To make changes to your program's matching process, select Matching and select the Match Type you would like to configure matching settings for.
Then, click on Matching Settings. Here you will be able to choose how your mentors, mentees, and colleagues will be matched and determine other matching settings such as Labels, Match Duration, Match End Settings, etc.
Roles and Labels
In this section, you have the option to edit role labels to align with your program's needs. Additionally, you can also enable Reverse Mentorship by selecting 'Mentors can request Mentees' for both User Led matching processes.
Types of Matching Processes
Roulette
- The system generates a new match for each user at a cadence of the admin's choosing. This matching process is usually utilized in a Coffee Chat program with the purpose of participants meeting and networking with others within the organization
User-led with 1-sided approval
- A mentee led process that allows mentees to select a mentor of their choice with software recommendations to help them make an informed decision. Once a mentee selects a mentor, the match begins.
User-led with 2-sided approval
- A mentee led process that allows mentees to select a shortlist of mentors and rank them by preference. The system will then send a request to the highest ranked mentor for them to approve or decline the request. If approved, the match beings. However, if the request is declined or it expires due to the mentors not responding for 3-5 business days, the system sends a requests to the next mentor on the shortlist, until the request is accepted.
Admin-led
- Only admins can create matches, but the software helps make recommendations. This is best used for small programs or programs with special goals, like high-potential-talent programs.
Match Request Shortlist Size
In a User-led with 2-sided approval matching process, you can select the number of mentors a mentee can submit when choosing a mentor. This is in case a mentee's first-choice mentor is unavailable. The mentor next in line would then be chosen and so forth until a mentor is available. Additionally, you can select how many mentees a mentor is able to take on at once. This can be useful to provide additional coverage for mentees in your program and open up more options for mentees to choose from.
Match Frequency & Next Roulette Match Round
In a Roulette matching process, you can select the frequency at which the system should create a new match. You also have the ability to select the date and time the next match round will take place
Reporting Lines
Clicking into this feature will allow you to enable a restriction if you do not want direct reports matched with their manager, their manager's manager, or anyone who reports to the same manager. Be sure to click the Save button once you've made your selection.

Timezone Differences
The next option you will want to consider is whether or not you would like to limit matches based on a user's timezone. For organizations that have users across many different geographies, this can be a useful feature to ensure that users can find sufficient time to schedule their sessions.
Clicking on this bar will provide you with the ability to prevent matching between users if their timezone difference is greater than some value. In my case, I would like to restrict users from matching if their difference is greater than 1 hour:
Suggested Session Frequency & Duration
Here, you can select the pace of the sessions that take place by reminding users to book sessions and the default duration of each session. If you would like users to have the ability to pick their own session duration, you can toggle on this feature.
Match End Settings
You can determine if and when you would like matches to automatically end. This is a great way to ensure the pace of the program is set up to encourage consistent participation. You have the option to never end matches automatically, end matches after pairings complete the set amount of session i the program, end matches on a specific date or end matches after pairings have been matched for a certain amount of time while also taking into consideration if they have upcoming sessions booked or not.
After Matches End
Lastly, if you've chosen the After being matched for option, you can determine if participants can continue getting matched after their current match ends or if they should be ineligible to match again.
