Now that you have finished configuring your Questions & Algorithm, you can head back to your Registration page () and mark this step as done:
Matching:
The next step in the registration setup is to review your Matching settings. To begin, click on Configure Matching from your Registration page ():
Here you will be taken to your Matching page, where you will see your selected match type(s) that you can configure/edit or delete. You can also add additional match types from this page by clicking on the + Add Match Type button. Not all programs have multiple match types, it's up to you to decide how you want members to interact.
In this article, we'll be doing a deep dive into Match Settings:
- Roles and Labels
- Matching Process & Frequency
- Reporting Lines
- Timezone Differences
- Session Settings
- Match End Settings
Roles and Labels:
In this section, you'll be able to select the roles you would like participants to choose from and the labels that will be used for each match type. For some match types, there will be an additional option like whether you want mentors to be able to request mentees (traditional mentorship).
Matching Process:
As a reminder, here’s a breakdown of the available matching methods. The process you selected during program creation will be selected by default.
- Roulette:Â Participants are auto-matched at a set cadence with no approvals needed. Only available in Colleague Connect and Coffee Chats. You can also set the match day and frequency.
- User-led (1-sided approval):Â Participants choose a match and only need their own approval. Admins can still assign matches manually.
- User-led (2-sided approval):Â Participants submit top match requests and must get approval from the other party. You can also adjust the shortlist size.
- Admin-led Only:Â Admins assign matches directly using algorithmic recommendations. Only available for Mentorship and Group match types.
Reporting Lines:
The next option on this page is based on your user's reporting lines and organization structure.
Clicking into this feature will allow you to enable a restriction if you do not want direct reports matched with their manager, their manager's manager, or anyone who reports to the same manager. Be sure to click the Save button once you've made your selection.
- Note: employeeID and supervisorID fields must be available for this restriction to function properly. For more information on this, please check out our article here: How do I use HRIS data in my Matching Algorithm?
Timezone Differences:
Another option you will want to consider is whether or not you would like to limit matches based on a user's timezone. For organizations that have users across many different geographies, this can be a useful feature to ensure that users can find sufficient time to schedule their sessions.
Clicking on this bar will provide you with the ability to prevent matching between users if their timezone difference is greater than some value. In my case, I would like to restrict users from matching if their difference is greater than 2 hours:
Session Settings:
The next option on this page allows you to specify how many sessions you would like participants to meet for. Additional sessions can be added at any time here or by participants. You can also decide the default session duration you would like participants to meet for (mandatory length or flexibility for them to change/pick their own duration).
Match End Settings:
The last option you will want to consider is whether you want to automatically end matches after a certain period of time.Â
- Never
- After completing all sessions (Recommended)
- On a specific date
-
After being matched for X weeks or months
- Option: Only automatically end matches that do not have future scheduled sessions
Some match end settings do allow further participation or limitation:
Allow mentees/mentors to continue getting matched
Mark mentees/mentors as ineligible to match again
Optional: Disqualify participants from matching with each other again
Don't forget to click Save!
Agendas:
Each match type also allows you to decide which type of agendas participants can use.Â
Personalized AI Agendas (customized based on profile responses)
Fixed Agendas (same for all participants)
Tasks:
Within a match type, you can also add, edit, or remove assigned tasks (editable), and preview auto-added system tasks (not editable).
Now that you have finalized your Matching settings, you can head back to the Registration page () and check this step off!
