Once you have launched your mentorship program, you will want to monitor and keep an eye on registration. As an admin, there are a few ways to do this, and we will cover the most important monitoring features that are available for you.
Track Registration
This page will give you an overview of the registration emails and an exportable dashboard for users that have been invited & registered via email. You can track your overall conversion on sending out email invites to users registering in your program, as well as re-invite users who have not yet registered.
You can navigate to this area by selecting your program, followed by clicking on the Registration tab, followed by clicking Track Registration.
There are 3 tabs that show the user email statuses aggregated by the individual users. If you need a full export of email logs related to registration, without user-based aggregation, you can access it through the Emails tab of the program.
Tracking Tab: Users invited through Together
This tab contains all users that have been invited to this program via email through the Together platform. Users who were not invited, and registered for the program via a sign-up link will not appear in this table. The columns contain data around the status of the initial invite email.
- First invited: The date the user was first invited to the program via email. Inviting users a 2nd time will not update this date.
- Invitation Email Status: Indicates whether the invitation email is: Pending, Delivered, Opened or Failed
- Date Registered: For users that have registered, the date they registered. This is value is blank for users that have been invited, but did not register.
Tracking Tab: Users invited but not registered
This tab contains all users that have been invited to Together via email, but have not yet registered for this program.
- First Invitation: The date the user was first invited to the program via email
- Most Recent Sent: The date when the user was most recently notified to register, either through an initial invite email, or a reminder email
- Most Recent Status: The status of the most recent send email or reminder - this can be Pending, Delivered, Opened or Failed
- Next Scheduled: The next time the user will be sent a reminder email to register. When a user does not have any upcoming reminders (ie: the user has been sent the final reminder to register, or is anonymous and will not be reminded) this column will be blank.
- Last Scheduled: The date when the final automated reminder email or invite has been sent or is scheduled to be sent. This allows you to filter to users who have failed to respond to reminders, and re-invite them to the program. Users are still eligible to register for a program after getting their last scheduled reminder.
From this table - you can select users in bulk to either re-send a Registration Invitation, or to Draft Custom Email for a personalized touch.
Note: Inviting a user that is not in the Users Table to a program will invite the user anonymously, and that user will not receive reminder emails to register. As such, these users will have blank entries under the Next Scheduled & Last Scheduled columns immediately after being invited - as they do not have any scheduled reminders.
Tracking Tab: Registered Users
This tab shows all users that have registered in the program, regardless if they registered following a link via email, or signed up via a shared sign-up link.
- Date Invited: The date the user was first invited to the program via email. This column will be blank for users that signed up for the program via a shared link.
- Welcome Email Sent: The date that the user was sent the "Welcome to the Program email". This email is triggered after the user self-registers, or is registered for the program.
- Welcome Email Status: The status of the welcome email - this can be Pending, Delivered, Opened or Failed
- Date Registered: The date that the users registered for the program.
Matching Funnel
Here, you can view all registered users along with other important information such as; Unpaired Mentees, Available Mentors, and Active Matches. To view All Participants, head over to the Matching section, followed by clicking on the View All Participants card under Matching Funnel:
Registration Report
For a more granular view of your program's registration progress, you can head over to the Reports section, followed by Registration Report. Here, you can view and export important registration metrics such as the Number of registrants, Profile Breakdown, and Questionnaire responses.
