Program access determines who can register for your Program and which roles they are eligible for. This allows you to run targeted Programs (such as high-potential mentorship Programs) or open Programs across your organization, while maintaining control over participation.
How Program Access Works
By default, no Users have access to a Program. Users must be granted access before they can be invited and complete registration.
This helps you:
- Control exactly who can register
- Track which Users have been granted access
- Monitor invitation status and engagement
Note: Granting access does not automatically send an invitation. Invitations must be sent manually or through enabled invite methods.
Turning On Registration
Before granting Program access or inviting Users, you must complete registration setup and turn registration on.
- Navigate to Registration → Setup.
- Complete each item in the checklist by selecting Mark as Done. This includes importing Users, configuring questionnaires, reviewing notifications, and setting up matching.
- Once all steps are complete, click Turn On Registration.
Tip: Turning on registration does not notify Users until participants are added and invitations are sent.
After registration is enabled, you can manage access from the Registration → Invite & Track page.

Invite & Track Overview
Once registration is turned on, the Invite & Track page displays two tabs:
- Users with Access – Users who are eligible to register
- Registered Users – Users who have completed registration
When a user completes registration, they automatically move from Users with Access to Registered Users.
Users with Access
The Users with Access table shows all Users who have been granted access, including:
- Assigned role(s)
- Invitation method
- Date the invitation was sent
From this table, you can monitor participation, resend invitations, and manage access.
Add Users
Select + Add Users to grant access. You can add Users in several ways depending on how targeted your Program is.
Add Specific Users
You can add individuals by either pasting email addresses or selecting Users from your Users table.
Paste Emails
Paste one or more email addresses, then proceed to assign roles.
Note: Users added via this method are granted access to all roles by default. Update roles before sending invitations if needed.
From Users Table
Select Users individually or in bulk from your existing Users table. Assign or update roles using Bulk Actions, then proceed to the invite step.
Add Everyone in Your Organization
This option grants access to all Users in your organization, allowing them to register for any available role.
Tip: Use this option for open or organization-wide programs where participation is not restricted.
Note: This option is not available for Absorb-integrated organizations where admin visibility is restricted. See: Absorb LMS Integration > Admin Visibility of Users in Together.
Add Users with a Filter Rule
Use filters to automatically grant access based on User attributes such as department, level, or other profile fields.
Only Users who meet the defined criteria will be granted access.
Role-Based Access Control
For programs with multiple roles (Mentor, Mentee, Colleague), you can control access at the role level.
For each role, you can:
- Allow all Users to register
- Restrict registration to Users who meet specific criteria
Tip: This is useful for limiting mentor roles to experienced employees while keeping mentee roles open.
When restricting access, select + Add Access Rule to define criteria.
After configuring rules, review eligible Users before proceeding.
Invite Methods
After granting access, you can invite Users using one of the following methods:
- Registration invitation email
- Registration link
- Automatic invites
Note: You can choose to send invitations immediately or share the registration link manually at any time while registration is open.
Registration Invitation
Send invitation emails directly from the platform.
You can send invites individually or in bulk using Bulk Actions.
After the initial email, Users may receive follow-ups:
- Reminder after 2 days
- Final reminder after 20 days
- Welcome email after registration
Tip: Review and customize these emails in your Program’s email settings to match your organization’s tone.
Registration Link
Share a registration link via internal channels such as Slack, newsletters, or intranet posts.
Only Users who have been granted access can register using this link.
Note: Users without access will not be able to register, even if they have the link.
Automatic Invites
Enable Automatic Invites to automatically invite new eligible Users.
Invitations are sent automatically when:
- Registration is turned on
- The user meets any defined access criteria
Tip: Use automatic invites to reduce manual effort when onboarding new employees into ongoing Programs.
Registered Users
The Registered Users table shows Users who have completed registration, including:
- Selected role(s)
- Invitation date
- Registration date
- Welcome Email Sent date
- Welcome Email Status
You can update role eligibility from this table using the Action menu or Bulk Actions.
Note: Users are not automatically notified when granted access to additional roles. Follow up manually if needed.
